We are currently recruiting for a Part Time Admin Secretary to support the Group Manager and administration department of an expanding company based in Uxbridge. Flexible hours are available for this job, but initially you will be required to work Monday to Thursday 9am - 2pm or 10am - 3pm.

Job Description

Duties and Responsibilities

Provide administrative support to the Group Manager, including:

  • Screening telephone calls, taking messages and responding to routine enquiries.
  • Organising and ensuring the Group Manager is well-prepared for meetings.
  • Assisting in travel planning and financial budgeting for the department.
  • Typing letters, reports and other documents as required.
  • Diary Management.
  • Researching and reporting on ad-hoc projects.

Provide administrative support to the Department including:

  • Assisting with administering the Department time and attendance system.
  • Reviewing, developing and maintaining internal processes and procedures.
  • Ensuring expense / float forms are completed correctly and submitted in a timely manner.
  • Ensuring relevant team members have float / petty cash as required and ensuring relevant forms are completed correctly and submitted in a timely manner.
  • Assisting in the collation of training plans for department, and liaising with the Training Coordinator as appropriate.

In addition to the above duties, you will also be required to assist in meeting planning and preparation, including minute taking and distribution.

Requirements

You will be working with minimal supervision so must be able to prioritise your work load and communicate at all levels in a professional manner as you will be providing support to senior management. In addition, you must have:

  • Excellent administration skills.
  • Proficiency in MS Office (Excel / Word).
  • The ability to produce accurate minutes to a high standard, and in a timely manner.
  • Previous experience supporting senior management.
  • The ability to anticipate the needs for both the Group Manager and the department.
  • The ability to establish and maintain good working relationships at all levels.
