An opportunity has arisen for a full time Admin Secretary to support the operational management team for all Referral Management Services based in Totton, Southampton. The successful candidate will join an established, successful company with firm beliefs of investing in their staff.

Job Description

This secretarial role will involve managing the link between Primary and Secondary Care services ensuring the most appropriate onward referral method is utilised in line with the defined priority and patient choice. You will also be partly responsible for achieving Department of Health targets for Choose and Book usage and therefore the reduction of waiting times for outpatient appointments.

Duties and Responsibilities

  • To provide diary management and general administrative support to the Service Director and Head of Service Design.
  • To provide daily administrative support to the Service Delivery Managers and Operational Managers as required.
  • To support the Operational Managers in the maintenance of staff rotas and coordinating the request and approvals process for any rota changes and annual leave requests.
  • To update and maintain all HR records in accordance with company policy regarding sickness and absence and any formal contract change notifications.
  • To assist in the development and maintenance of training records and training calendars for all staff in the services.
  • Assist in the maintenance of the daily issues logs and complaints logs for all services where required.
  • To maintain and update staff notice boards at all times.
  • To attend and minute all weekly and monthly operational telecoms for all services.
  • To collate the monthly telephone stats as required for all services.
  • To administer the central stock control and supply of stationery for all services

Requirements

  • Excellent working knowledge of Microsoft office applications (Outlook, Excel, Word, Powerpoint).
  • Experience of Rota Master and Adastra would be desirable but not essential as training can be supplied.

  • Be focused on customer excellence and delivering patient care.
  • Possess good time management and organisational skills.
  • Be able to prioritise workload to deliver within specified time-lines.
  • Have good verbal and written communication skills, and be able to communicate at all levels through to management.
  • Be confident and self motivated with a flexible, positive can do attitude.
  • Be a team player, ability to communicate professionally at all times.
