A leading Accident Management company based in Ipswich which has steadily grown and developed since its establishment over 20 years ago is looking to secure the services of a Temporary Senior Administrator to provide support to their established team. The ideal candidate must be available immediately and must be able to commit for eight months.
Job Description
You will be required to provide secretarial and office administration support for 2 main divisions, but to include support for all Directors and Managers to ensure the smooth running of the office.
Duties and Responsibilities
- Providing support to Directors and Managers as required including general secretarial / admin duties, typing and filing of correspondence and filtering calls.
- General reception duties including answering the telephones, meeting / greeting visitors, assisting with meeting room bookings and provision of refreshments / lunch when required, receiving deliveries, franking mail, etc.
- Distribution of incoming mail and issue of daily mail log to management team.
- Preparation of weekly timesheet summaries for Commercial divisions.
- Preparation of pre-qualification questionnaires for Commercial division.
- Preparation of monthly carbon data figures.
- Ordering and maintaining stocks of office stationery etc. and updating expenditure control record.
- Coordination of all print buying and updating print cost control record.
- Arranging travel and other accommodation requirements as necessary.
- Arranging meetings and attendance at regular departmental meetings as required.
- Despatch of company marketing information.
- Ensuring Complaints Procedure is adhered to and records kept up to date.
- Liaison with maintainance contractors and telecoms provider as necessary.
- Liaison with the office cleaning contractor and monitoring of service.
Requirements
- Knowledge of office based procedures and filing systems.
- Knowledge of Microsoft Word and Excel at advanced level, Powerpoint and Access preferred.
- Knowledge of the complexity of how a multi-site organisation co-ordinates communications, collates data and provide services from a central office.
- Knowledge of an online ordering system.
- Knowledge of recruitment processes.
- Experience in coding and receipting invoices.
- Experience of database entry and basic day to day database maintenance.
