A leading global Investment Bank located in Canary Wharf has an opportunity for a proactive, pragmatic and flexible Italian Speaking Personal Assistant to support the Head of Financial Global Services and two Managing Directors.

The role is extremely demanding and therefore you must be accustomed to a pressurised environment in which you can prioritise and multi-task whilst remaining calm, focused and able to provide a professional representation of the team.

Job Description

The role is open to those candidates who are willing to work above and beyond the job specification and who have the ability to smoothly integrate into a team orientated environment.

Duties and Responsibilities

The PA will be providing the following secretarial and administrative support:

  • 60% 1:1 Support to the Head of Financial Global Services.
  • 40% Managerial Team Support.
  • Bilingual external communication in Italian and English.
  • Complex diary management.
  • Travel coordination - booking travel and compiling itineraries.
  • Arranging internal and external meetings.
  • Processing of expenses and invoices.
  • Maintaining various in-house databases.
  • Compiling PowerPoint presentations.
  • Being involved in various projects.
  • Establishing professional bilingual relationships with clients and their secretaries.

Requirements

The successful candidate will have had previous exposure to the above alongside:

  • Strong system skills across all Microsoft packages, Lotus Notes would be an advantage.
  • Previous exposure to working within an Investment Bank or Hedge Fund.

In addition, you must possess:

  • Spoken and written Italian fluency.
  • Excellent interpersonal skills with clear and concise communication.
  • Initiative and can-do approach.
  • The ability to prioritise accordingly.
  • The ability to handle confidential and sensitive matters.
  • Strong organisational skills.
  • Multi-tasking ability.
  • High attention to detail.
