A fantastic opportunity has arisen in Cambridge for an Executive Assistant to work closely with the Company Secretary, providing high quality secretarial and administrative support. This role in addition entails ensuring all tasks are handled efficiently and effectively, maintaining a high level of confidentiality at all times.

Job Description

This Executive Assistant role is based on Cambridge Science Park and the organisation is a charitable research organisation. The salary for this role is between £22-26k dependent on experience.

Duties and Responsibilities

  • Screen telephone calls, meet and greet visitors
  • Liaison with directors, editors, suppliers and staff
  • Devise and maintain office systems, including data management, filing etc
  • Composition of letters, memos etc as required
  • Carry out background research as directed and take ownership of projects
  • Administer petty cash
  • Manage Company credit cards, including related correspondence and reconciliation of statements
  • Organise meetings, including booking of venues, hotel accommodation, catering and travel
  • Compile and circulate committee papers per agenda
  • Attend meetings to record minutes
  • Maintain company registers including conflicts of interest, directors training, members etc
  • Maintain the online Board Operations Manual
  • Maintain employee database
  • Creation, under direction of HR, employment contracts
  • Maintain company registers
  • Organise in-house training sessions as directed

Requirements

  • Excellent interpersonal and communication skills
  • High level of accuracy and proficiency in Microsoft Office (Word, Excel, Powerpoint and Adobe)
  • Excellent written and grammatical skills
  • Excellent planning, prioritising and organisational skills
