We are currently recruiting for the position of Executive Assistant to fulfil a position within a global electronics and lifestyle company that has created some of the most innovative and iconic products of the last 30 years.

Job Description

As an Executive Assistant you will assist and support the directors in achieving the overall business objectives and be the point of contact for the overall team, other departments & external parties.

Duties and Responsibilities

  • Provide support to the 2 directors
  • Assist in the collation of material for presentation on an ad hoc basis
  • Prioritise & schedule meetings
  • Ensuring both diaries are up-to-date
  • Ensure that all relevant up-to-date files are held centrally on the server
  • Centralise & apply all admin policies (travel, expense, vacation etc) correctly
  • Maintain up-to-date team vacation status
  • Participate in staff meetings where possible
  • Organise local meetings: diffuse agenda & invitations
  • Follow up on actions
  • Organise key customer meetings & contribute to key customer events
  • Organise quarterly business reviews to ensure priorities & actions are clear
  • Organise 2 retail team activities per year (music, restaurant..)
  • Organise and book related travel & accommodation for both directors & participate where appropriate
  • Screen telephone calls & provide requested information or redirect to other staff accordingly
  • Professionally handle all incoming communication & delegate as appropriate
  • Handle contact to department during vacation periods etc
  • Accounting related tasks
  • Manage expense reports for both directors
  • General admin

Requirements

You will need to have at least 2 years PA / EA experience and have excellent interpersonal skills. In addition, you will be fluent in both written and spoken English, and be approachable and friendly. You will also have:

  • A flexible approach to work
  • The ability to communicate clearly, across all levels
  • Excellent computer skills – word processing / spreadsheets etc
  • The ability to anticipate and to work under pressure
  • The ability to prioritise
  • Good administration / support skills
  • Effective time management
