We are currently recruiting for a Junior Secretary to fill a 12 month contract for our client, based in the City of London. This position has the possibility of being extended to a permanent position beyond the initial 12 month contract. This job offers an excellent opportunity to gain secretarial experience with a well-known corporation.

Job Description

Duties and Responsibilities

The candidate will be required to assist the senior secretary by providing secretarial and administrative support to a senior partner. You will need to show motivation above and beyond your duties, have excellent discipline and be a self-starter. You will work with supervision and support from partner's PA.

  • To provide an exceptional client experience and support client initiatives within the firm, as well as being responsive and helping to create a positive impression at all touch points.
  • Answer telephone promptly, dealing with routine enquiries and taking appropriate messages.
  • Arrange and co-ordinate meetings, liaising with delegates, booking boardrooms and arranging refreshments as necessary.
  • Greet visitors at reception.
  • Organise business travel arrangements.
  • Expense claims and billing.
  • Set and maintain systems regarding information, records, actionable and brought forward items etc for group.
  • Planning and execution of small projects with minimal supervision.
  • Audio and copy typing of reports, letters, faxes, compliment slips, memos, file notes and labels and schedules.
  • Responsible for ensuring typing is completed promptly and prioritised appropriately subject to director / manager guidance.
  • Ensure all typing complies with the firm's standards, is well presented and error free.
  • Provide secretarial assistance to other groups as directed.
  • Prepare material for internal and external presentations.

Requirements

  • Good organisational and administration skills.
  • Good typing speed
  • Good knowledge of all Microsoft packages.
  • Basic spreadsheet skills, desirable.
  • Good secretarial skills.
  • Excellent judgement and interpersonal skills - able to deal with people at all levels.
  • Organised, disciplined and self motivated with the ability to work pro-actively on own initiative.
  • Attention to detail.
  • Ability to identify and evaluate problems proactively
